Advanced Notifications allows you to set up actionable notifications for customers, vendors, items, and documents right inside Business Central (BC). These detailed notes can be directly emailed (and now texted) to both BC and non-BC users.
Advanced Notifications offers broad accessibility, functioning across most Sales and Purchasing windows within the system. This gives you the tools to communicate key tasks and activities without ever leaving Business Central. It can facilitate automated notifications for many kinds of events, such as the shipment of Sales Orders, receipt of Purchase Orders, adjustments in Inventory, Job Queue failures, credit limit warnings, and more.
One of its other key features is the ability to tag others, triggering notifications and sending the user (or group) an email or text containing a link to the tagged document. This seamless integration will better streamline your communication and notification processes, ensuring that relevant stakeholders are promptly informed, enabling quick access to related documents within Business Central itself. The new SMS feature in Advanced Notifications adds native text message capabilities directly into your Business Central system. When key sales events occur, such as an order being released, shipped, or invoiced, your system will automatically send a customized SMS (text) to your customer.
These messages are built from easily configurable templates with dynamic placeholders, delivered through BulkSMS or Twilio (subscription required), and every send is logged with a full audit trail. A built-in duplicate-prevention window ensures the same message is never sent twice by accident. All your customers need to do is opt in to receive these messages.
Your customers will receive text messages in real time with invoice and sales shipment details on a post, sales order confirmations, shipment tracking numbers and updates. They can also use the opt out compliance management function, and receive customer, vendor, item pop up notes, event driven notifications, plus ad hoc user notes (at your fingertips in the FactBox).
Let’s look at a few of these capabilities in detail…
Business Central automatically sends these SMS messages to customers when key sales events occur: for example, a Sales Order is released, a shipment is posted, or a sales invoice is posted. No separate customer portal, manual follow-up emails, or third-party middleware are required.
Your Sales and Operations teams will spend less time fielding “where is my order?” calls because customers have already been updated. Order confirmations, shipping notifications, and invoice alerts reach them instantly.
Each SMS notification type (Sales Order, Shipment, Invoice) has its own configurable message template. Templates support dynamic placeholders, such as order number, customer name, and amounts that are replaced with real document values at send time. Configurable templates let you tailor your communication tone, include relevant transaction details, and comply with company brand standards. You’ll be able to craft instant messages that feel personal and informative rather than use generic system notifications.
The system tracks sent SMS messages and detects when a near-identical message would be sent to the same customer within a configurable time window. If a duplicate is detected, you’ll be prompted to confirm before the message is sent again, preventing accidental repeat notifications.
Sending the same SMS twice can trigger opt-out requests, so duplicate prevention provides a safety net without blocking legitimate resends when they are genuinely needed.
You can manually trigger an SMS notification directly from a Sales Order using a dedicated action when needed. This is independent of the automatic event-based sending and allows your staff to resend a notification or send one outside of the normal automation triggers. Your team has the flexibility to communicate with customers without leaving Business Central or switching to a separate SMS tool and can keep the full communication record in one place.
Every SMS you send through the system is automatically recorded in the SMS Log. Each entry captures the date and time, document type and number, customer, phone number, the exact message text, delivery success or failure status, and any error detail returned by the provider. This automatic visibility means your team has a reliable record to quickly investigate any discrepancies.
Sending unsolicited text messages is a compliance and reputational risk. The opt-in model ensures every SMS is sent only with explicit customer consent. A dedicated Customer SMS Opt-In List page allows you to view and manage consent status across all customers, with filters to show opted-in or opted-out customers at a glance. SMS messages will only ever be sent to customers who have opted in.
With Advanced Notifications, SMS delivery is handled through a provider interface that supports both BulkSMS and Twilio. You’ll be able to select and configure this through the SMS setup, and the underlying architecture allows additional providers to be added in future too.
The provider-agnostic design means you can choose the provider that best fits your geography, pricing, or compliance requirements. If a provider's pricing changes or a better option becomes available, switching does not require a code change or a new extension.
